How to fill it in
You go from top to bottom. Your own details and your logo are typed once and stay saved in the browser for the next quote, while the client and the lines change every time. Each line carries its own description, quantity, unit (hours, days, pieces), unit price and VAT rate, so a single document can mix a service at the standard rate and a book at a reduced one. The panel at the bottom updates while you type, so you see the total before the file is generated.
The order of the calculation, which is not neutral
First the lines are added up, then the discount is taken off, and the discount is spread across the VAT rates in proportion. Subtracting it at the end would give the wrong tax whenever two rates are used in the same document. Any extra charge is added on top and becomes part of the VAT base, and only then is the tax computed rate by rate. Withholding tax is subtracted at the end from the total, but it is computed on the fee alone, never on the VAT or on a fixed fee. Everything runs on whole cents, so the parts always add up exactly to the printed total.
Extra charge and withholding tax
The two extra fields are deliberately generic, because the percentages that apply to you are a national matter. In Italy, for example, a 4% social security charge can either be part of the fee, and therefore also subject to the 20% withholding, or sit outside the withholding base: the drop-down lets you say which of the two it is. The share field covers the cases where withholding applies only to a portion of the fee, as it does for sales agents. On the English page these fields start at zero, so nothing is applied unless you ask for it.
Validity, numbering and the file itself
A quote without an expiry date invites a client to accept it six months later at the old price, so the validity in days is printed as a real date at the bottom of the document. The number is yours: after each download the tool proposes the next one by increasing the last group of digits and keeping the padding, but it does not keep a register. The PDF is A4, it flows onto more pages when the lines do not fit, and the table header is repeated on every page.
What this tool does not do
It does not produce an electronic invoice or any tax-authority XML, and it does not send anything: the document is built in your browser with a local PDF library and never leaves the device. The standard PDF fonts do not include emoji or non-Latin alphabets, so those characters are dropped and the page tells you when it happens. Rates and duties depend on your own tax position, so a quote produced here does not replace the advice of your accountant.
